Privacy policy
We hold what an order needs and nothing we cannot justify. This page names every outside company that touches your details, because a list of categories tells you nothing.
What we collect
Only what you give us, and only through this site or by email:
- Your brief— the email you paste or the answers you type: guest numbers, event date and type, holes, the items you are interested in, and any note you add.
- Your contact details— name and email address, and a phone number if you place an order.
- Your artwork— the logo file you attach, with its filename, type and size.
- Your order— what you bought, at what price, and the delivery address you gave at checkout.
- Ordinary server logs— the requests our server handles, kept briefly for security and debugging.
Cookies, and what we do without them
This site sets no advertising or analytics cookies, because it runs no advertising and no analytics. There is no tracking pixel here, and nothing on this site is used to follow you around another one.
What your brief actually lives in is your browser’s own session storage: it stays on your machine, travels no further than the tab it was typed in, and disappears when you close it. Stripe sets its own cookies on its own checkout page, where they are needed to process a payment safely.
What we use it for
- Preparing your proposal, and pricing it.
- Making your mockups, producing your goods, and delivering them.
- Writing to you about your order — confirmation, mockup, approval, dispatch. These are not marketing and you cannot unsubscribe from them while an order is live.
- Answering you when you ask us something, and keeping our own accounting records.
We do not send marketing email unless you ask for it, and there is an unsubscribe link in any that we do send. We do not sell, rent or trade anybody’s details, and we never will — there is no version of this business where that is a good idea.
Who else processes it
Running an outfitting service on one machine is not possible, so a small number of companies handle parts of your information on our instructions:
- Stripe— payment, and the shipping address and phone number collected at checkout.
- Resend— delivery of the order emails we send you.
- Google Cloud— the server this site runs on, where your order record and artwork are stored.
- OpenAI— the text you paste into the enquiry box is read once, to turn it into a structured brief. Nothing else is sent, and it is not used to train anything.
- Google (Gemini)— your logo is composited onto product photographs to produce the draft mockups you see on the proposal.
- Our suppliers and carriers— the artwork, quantities, sizes and delivery address needed to make and deliver your order, and no more.
Each receives only the part it needs. None of them is permitted to use your details for anything but the job we sent them.
Where it goes, and how long we keep it
We sell internationally and produce through partners abroad, so an order necessarily crosses borders — at minimum between you, us, the maker and the carrier.
An enquiry that never becomes an order is deleted within 12 months. Order records, and the artwork we produced against them, we keep for 7 years: that is what tax and accounting rules require, and it is also what lets you reorder the same goods in the same colours three seasons later without sending us the files again.
Your rights
Wherever you are, we will honour these. Email orders@golfeventgear.com and we will answer within 30 days, usually far sooner.
- Ask what we hold about you, and get a copy.
- Have a mistake corrected.
- Have it deleted, once there is no live order and no record we are legally obliged to keep.
- Tell us to stop sending you anything that is not about an order.
- Object to what we are doing with it, and have a person — not a rule — look at it.
If you are in California: we do not sell or share personal information as those words are defined there, and we will not treat you differently for exercising any of the above.
Security, and children
The site is served over HTTPS. Artwork and order records sit on a server we control, not in a public bucket, and are reachable only by us. No system is perfect; if something ever does go wrong we will tell the people affected rather than hope nobody notices.
This is a service for tournament organisers and businesses. It is not intended for children, and we do not knowingly collect anything from them.
Changes, and asking us about any of this
When this policy changes we update the date at the top of the page. If a change is significant and you have an order with us, we will email you about it rather than leaving you to notice.
